​5.10 Records, Required Posters, and Handbooks

​​Each location should maintain the following employment-related records in a locked fireproof file or as indicated in the Document Retention policy.​ The Document Retention Schedule (sorted by category and record type​) sets forth the length of time records should be retained.

  • Recruitment, hiring, applications, and job placement records

  • I-9 forms (Employment Eligibility Verification)

  • Child labor certificates and notices (where applicable)​​

  • Personnel files for employees

  • Personnel files for clergy and religious

  • Payroll records

  • Benefits information

  • Employee medical records, including workers' compensation records

  • Grievance and investigation records

  • Fingerprint records and subsequent arrest notifications

  • Background check records (if applicable)​
